Field service software for commercial contractors with recurring contracts

For commercial service contractors with recurring work across many client sites (grounds maintenance and landscaping, commercial cleaning, and specialty services such as fire protection, pool service and pest control) with about 15 or more field staff. We build a web system around your contracts: the visits laid out from each contract, a dispatch board, a phone view your crew leads actually use, client reports drafted by AI, and job costing that shows which sites lose money. A typical build costs $8,000 to $25,000 at a fixed price, hosting and support start at $350 a month, and there's no fee per user.

Who this is for, and who it isn't

It fits when the schedule lives in a Google Sheet, an Airtable base or an AppSheet app the owner built, and it has visibly broken: crews working from screenshots, extra work done and never billed, nobody sure which sites lose money. It also fits when a per-user field service subscription has grown past about $350 a month and still fits commercial contracts poorly, because it was built for residential jobs and one-off invoices.

It isn't for residential HVAC, plumbing or electrical dispatch, which Housecall Pro, ServiceTitan and Jobber already serve well, or for firms under about ten field staff, where Jobber or Housecall Pro costs less and nothing up front.

What commercial service firms need that spreadsheets handle badly

  • The schedule retyped every week from contracts that say "mow weekly in season, beds every two weeks".
  • Crews without a real phone view, working from screenshots or paper work orders, so nothing reaches the office until the end of the day.
  • Extra work done for free, because nobody wrote it down, priced it or asked the client.
  • No idea which contracts lose money, because hours, drive time and materials never meet the contract price.
  • No record to show the client of what was done at each visit.

What we build for a field service firm

The demo shows each piece working for a fictional grounds maintenance company, Fernway Grounds.

  • Contracts that lay out the visits: each site's yearly contract, billed monthly, says what is done and how often, and the system puts every visit on the board for the site's crew and day. Nobody retypes the schedule.
  • A dispatch board: the week, crews down and days across. Move a visit, skip it with a reason, change the order, or push a crew's whole day for rain with one button. Visits marked started and done on the crews' phones show on the board within 15 seconds.
  • A phone view for crew leads: today's route with the next stop first, a map link, a big-button checklist, photos, materials used, extra work found, a short note, time on site and an optional client signature. Made for one hand in the sun, in any phone browser, with nothing to install.
  • Client reports drafted by AI: the AI reads the crew lead's short note, the checklist and the photos, and drafts a report in your company's voice: what was done, what was found, what is recommended. Your account manager checks it beside the photos, corrects it and sends it. Nothing reaches the client unapproved, and the AI never sets a price.
  • A page for the client: each report has its own link with the photos and the extra work priced for the site, with Approve and Decline. Approved work lands on the board, and extra work that used to be done for free gets billed.
  • Job costing by contract: what each contract earned against the labor, drive time and materials its visits cost. The owner sees which sites lose money and why: one priced as flat lawn with steep slopes, one an hour's drive away, one whose scope grew by a phone call and was never repriced.
  • Excel everywhere: every list and the margin table export to Excel.

You own all of it: the code, the data and the address.

What it costs, and how long it takes

A field service system is a fixed-price build, typically $8,000 to $25,000, then hosting and support from $350 a month, whatever the number of users. You see the price in writing before anything starts.

How it compares with Jobber, ServiceTitan and a homemade system

OptionCostFits best when
A Google Sheet, Airtable or AppSheet you builtFree to a few hundred a year; Airtable Business about $18,900 a year at 35 usersA few crews
JobberLargest published plan, 15 users: about $529 a month on annual billingMostly residential, one-off jobs
ServiceTitanAn estimated $245 to $398 per technician a monthResidential HVAC and plumbing dispatch
Rowhouse Systems$8,000 to $25,000 once, then from $350 a month, no per-user feeRecurring commercial contracts, job costing by contract, and a system you own

For 20 or more field staff, per-seat bills usually pass the $350 a month an owned system costs to run, and the up-front build is what to weigh against that. At about 15, the monthly costs are close, and the case rests on fit: recurring commercial contracts, job costing, the client's report page, and your own data. Questions

How is this different from Jobber or ServiceTitan?

It's built around your recurring commercial contracts, not one-off residential jobs, and it's yours: no fee per user, and the data and the code stay with you.

Will my crews actually use it on their phones?

The crew screens are a few big buttons in the order the work goes, and they work in any phone browser with no app to install. Try the crew lead's screens in the demo on your own phone.

Does the AI send anything to my clients by itself?

No. It drafts; a person in your office checks every report beside the photos and sends it. It never sets a price.

Can it show me which contracts lose money?

Yes. Every visit's hours, drive time and materials are costed against what the contract earns, and the owner's screen lists the contracts under your margin floor, with the reason.

What about my spreadsheet or Airtable base?

Your sites, contracts and crews are imported as part of the build, and every list exports to Excel whenever you want it.

What if it rains?

One button pushes a crew's whole day to the next working day, in the same order, and the history keeps the reason.

Does it do invoicing and payroll?

It records the time and the billable extra work. Invoicing and payroll stay in your accounting system, and connecting the two is part of scoping the build.

What does it cost each month?

From $350 for hosting, backups, updates and support, whatever the number of users. The build itself is a fixed price, typically $8,000 to $25,000.
